Guest List Overview
The Guest List is where you manage everyone you expect at your event. Use it to track attendance, register bidders and check guests in from the Manager, the iPad app or an iPhone.
If you aren’t having a check-in, you may not need the Guest List. You can simply register bidders instead.
To open it, go to People › Guests › Guest List.
How guests get on the list
Section titled “How guests get on the list”- Ticket purchases. When a ticket sells, the Guest List opens one slot for each guest the ticket admits. See How Tickets Populate the Guest List.
- Imports. If you use a different ticketing system, import your guests. You can also import sponsors with their seats.
- Added in the Manager. Add guests one at a time.
What you’ll see on each row
Section titled “What you’ll see on each row”- Paddle shows the guest’s paddle number once they’re a bidder.
- Attendance shows where each guest is: Listed, Registered or Checked in. You can sort the list by status. An Invited status also appears when a sponsor or ticket purchaser has invited the guest from the events site. See Guest List Attendance Statuses.
- Source appears as a tag next to each guest’s name, such as Ticket purchase, and shows how they were added: by import, ticket purchase or in the Manager.
- Checked-in shows the time each guest checked in.
- Custom questions shows each guest’s answers, such as dietary restrictions. See Learning about Custom Questions.
- Actions has a three-dot menu on each row. The options depend on where the guest is:
- For a guest who isn’t a bidder yet (no paddle number): Edit, Check in, Make a bidder, the option to link them to an existing bidder, and Remove.
- For a bidder or checked-in guest: Edit, Undo check-in, Swap paddle, Credit cards and Remove.
Filter, sort and export
Section titled “Filter, sort and export”Filter and sort by sponsor, table, ticket purchaser, ticket status, attendance, source, custom question or answer, and more.
You can export the current view, your current selection, all guests, or custom data from forms. Source and custom question answers can be included in the export.
Working with selected guests
Section titled “Working with selected guests”When you select one or more guests, an action bar appears at the bottom of the list. It shows how many guests you’ve selected, for example 2 selected, with Check in selected, Edit selected, Remove and Clear. If any of the selected guests are already checked in, Undo check-in also appears, and both buttons count only the guests they apply to, for example Check in 1 and Undo check-in (1). The bar stays in place as you scroll, so you can keep selecting guests.
