How a Ticket Purchaser Can Manage Their Guests

A Sponsor in Handbid is any ticket purchaser that purchases more than one ticket or a ticket with more than one guest slot. We recommend encouraging your Sponsors to manage their own guest list.

When logged into Handbid, if there is incomplete guest information, Handbid will prompt - “Who’s Coming?” You can view your tickets at that time, or skip.

To return to your list of tickets and guest information, click on the ‘TICKET’ icon in the upper right of the event page (must be logged in):

A list of your tickets purchased and any associated guests will be visible.  If you do not see your guests listed, please contact your auction manager to inquire about your purchase.

This is your guest list. Your own seat is listed first as Seat 1, and every seat you purchased is counted.

1. To add a guest, click Add guest on an open seat. To change a guest, click their name. Enter a name, email, phone number, and answer any custom questions (for example, meal choice).

2. Each seat shows its next step: Send invite when the guest has an email but no invite yet, Resend after an invite was sent, or Add email when the guest has no email yet. The invite includes your name, the event details, the guest’s ticket and a link to register as a bidder.

3. Once a guest registers as a bidder, their name, email and phone are locked, but you can still update their custom question answers. Click Ticket to view, email or print their ticket. A ticket is only ever emailed to that guest’s own email address.

4. If a registered guest can no longer come, click Release seat. The seat stays on your ticket, ready for a new guest, and the released person’s old ticket stops working. They stay a bidder at the event. You can release your own seat the same way. To give a seat to someone else, release it and add the new guest; there is no separate transfer step.

Each person can hold only one seat at an event. If you enter the email of someone who is already a guest or bidder at the event, you’ll see a message asking you to contact the event organizer, who can seat them for you.

The company or sponsor name on your seats is set by the event organizer. If it needs changing, contact your auction manager.

Adding an email address will allow you to send an invite to your guest to get registered.  Adding in a mobile phone number will further complete their setup and speed up check in at the event!

Guests from another country: pick the guest’s country in the box beside the phone number (it starts on the event’s country), or type the number with its country code, such as +48 788 015 763. If the number can’t receive texts you’ll see We cannot text this number. under it.

Warning: If you add a ticket purchaser’s guests from the backend, they will not be sent an invitation like they would from the user side.
