How to Link Bidder Accounts on the Guest List
Sometimes a guest already has a bidder account under a different email, for example because they registered themselves before the event. Linking the guest to that bidder account keeps them from being registered twice and keeps their bids and paddle number together.
Link a guest to an existing bidder
Section titled “Link a guest to an existing bidder”- In the Manager, go to People › Guests › Guest List.
- Find the guest and click the three-dot menu in the Actions column at the end of their row.
- Choose the option to link the guest to an existing bidder, then select the bidder.
The guest’s attendance status changes to Registered and shows the bidder’s paddle number.
After linking, the person has one record and one paddle number in your event. The bidder record they had before stays retired: it doesn’t come back when they log in, bid or are registered again, and their bids stay with them.
How Handbid matches guests and bidders
Section titled “How Handbid matches guests and bidders”- By email. Handbid identifies a bidder by their email address. If a guest’s email matches a bidder’s, they’re linked automatically. You can also update a guest’s email to the one the bidder registered with.
- By phone number. If you register a guest with a phone number that already belongs to a bidder, Handbid recognizes that bidder and asks whether to link the accounts. The linked account keeps the email already tied to that phone number.
- When adding a guest. If a guest you’re adding may already be registered, Handbid shows each possible match and where it comes from, such as your bidder list or your contacts. See How to Add a Guest.
Tips for matching bidders before your event
Section titled “Tips for matching bidders before your event”- Before importing a guest list, compare it with your bidder list and use the same email for anyone who already registered. They’ll be linked when you import.
- Missing emails? Check your contact list. Anyone who registered for a past Handbid event is there, and most people register with the same email each year.
